Managing Your Workforce

Too long didn't read (TLDR)

Your workforce is your live roster in Acadis. You are responsible for keeping it accurate, reporting completed training, and tracking probationary deadlines. Annual paper rosters are no longer used.

Viewing your workforce

Navigate to Workforce → Personnel in the left sidebar. This list shows every officer currently assigned to your organization.

  • Verify this matches your actual staff before taking any other action
  • If an officer appears who has already separated, submit a separation report first — see Separations

Adding an officer to your workforce

Officers are added to your roster automatically when a certification application is processed by Standards & Training. You do not manually add them — submitting the correct form starts the process.

  • New or returning (2+ years out): Submit the Application for Certification (Parts 1, 2 & 3)
  • Previously certified, separated less than 2 years: Submit the Application for Agency Transfer / Rehire

See Certification Process for guidance on which form applies.

Multiple employers

An officer working full-time for one agency and part-time for another has a single person record in Acadis. Either agency's POC can report training, and the officer only needs to complete 24 hours of CEUs total — not 24 per employer.

Reporting training

Training must be reported in Acadis to count toward CEU requirements and probationary period completion. Online training completed through the portal is recorded automatically — you only need to enter training that happened outside the portal.

  1. Go to Training and Events → Report Completed Training
  2. Select Enter my own course information
  3. Enter the course title, description, start date, end date, and provider
  4. Click Add Students, search by last name / first initial or MCID, then click Add to roster
  5. Click View Training Event, review all information, then click Submit

Submissions are final

You cannot edit a training report after submitting. If you make a mistake, an Acadis admin must correct it. Double-check everything before you hit Submit.

Probationary periods

Every newly hired officer begins a probationary period on their date of hire. Acadis does not send deadline reminders — tracking these dates is your responsibility.

Deadlines

  • Full-time officers: 1 year from date of hire
  • Part-time officers: 2 years from date of hire

If an officer does not meet all certification requirements before the deadline, their employment must be terminated. Extensions are not automatic — contact Standards & Training if exceptional circumstances apply.

Training history and fiscal year

Watch your filter

When reviewing an officer's training history, make sure the view is set to Fiscal Year, not Calendar Year. Training you entered may not appear if the wrong filter is active.

Training reports

Two report options are available under Workforce:

  • Personnel Training Hours — A quick overview of where your entire organization stands on annual CEU requirements
  • Print Training Report — A formatted PDF report you can share with agency leadership or a Standards & Training investigator; enter a date range and Acadis generates it for you

CEU requirements

Certified officers must complete 24 hours of continuing education (CEUs) per fiscal year (July 1 – June 30).

  • POC-reported training counts toward the requirement
  • Online training completed through the portal counts automatically — no manual entry needed
  • CEU shortfalls can affect an officer's certification standing — report outstanding training as soon as possible

See Portal user training history for how officers view their own CEU totals.
