Too long didn't read (TLDR)

When an officer leaves your agency, submit a separation report in Acadis within 30 days. The effective date you enter starts the separation clock that determines their future certification path.

When to submit

Submit a separation report any time an officer leaves your organization, regardless of reason:

  • Resignation — officer voluntarily leaves
  • Termination — officer is dismissed
  • Resigns under investigation — officer quits during an internal inquiry
  • Resigns to prevent termination — officer believes termination is imminent
  • Appointment type change — switching between full-time and part-time status

Submit as soon as the separation is effective. Do not wait.

Separation vs. departure

Separation — an officer leaving an agency. You submit this report.

Departure — an academy-specific action when a student fails to complete basic training. Handled by the academy, not by you. If an employee starts an academy and departs before finishing, you still must submit a separation report to remove them from your roster.

How to submit

  1. Log in to Acadis and go to Workforce → Personnel
  2. Note the officer's MCID number (second column in the list)
  3. Navigate to Standards Resources → Webforms
  4. Select BLEOST - Law Enforcement Officer Separation Report
  5. Complete all required fields and submit

Once submitted, the report routes automatically to the BLEOST Certification Unit. No further action is needed unless they contact you.

Terminations and resignations to avoid termination

You can attach supporting documentation to the separation report for additional context. This is strongly encouraged for these separation types — document thoroughly and don't push a problem officer onto another agency.

What happens after you submit

  • Workflow routes to Standards & Training — the Certification Unit reviews the report; processing time varies
  • Officer remains in Acadis — the person record is not deleted; it is released from your organization and moves to Separated (Inactive) status in your workforce list
  • Certification is updated — once processed, the officer's record reflects the separation; there is nothing physical to collect, all certificates are electronic

The separation clock

The effective date you enter starts a clock that determines the officer's future certification path if they are ever hired by another agency.
